Improve the Purchase Order system
The Purchase Order system is only half finished to really make it useful it should generate sequential PO numbers which we would send to our suppliers, then we should be able to track it for goods arrival and checking off the delivered goods. Then depending upon our supplier terms it should track the payment due date and allow for entering payment details when paid. Then similar to the sales synch with QuickBooks it should update all the order and payment details within QuickBooks, so alleviating tiresome repetitive entries.
Hey everyone – we have added the “Sync to QuickBooks Online” bit for beta_testers, if you are not a beta tester currently, you will get this feature in a couple weeks. We are not accepting new beta testers at this time.
For those of you that are beta testers, please visit QuickBooks settings in RepairShopr and select your Accounts Payable account for PO’s to sync to in QB and let us know here in the comments what feedback you have for it!

I still note that there isn't a way to type in the total value of the invoice at the end of the PO. This means there could be a data entry error and no way of forcing a check on that.
There is still no way of setting cost including tax or cost excluding tax?
Also PO Numbers are different to Invoice Numbers. Can we have a separate field for that?

@Patrick - Thank you for the compliment on 11/16/15. I do try to come up with only universally good ideas. Sadly, only 3 of the 16 ideas I came up with got done :(
@Curtis - I totally feel you on this, we experience that a lot. RS wants you to make "requests" instead of "issues/demands".

@Matt on 11/9/15 - I think you're reinterating my bullet point #10 below from my post on 7/28/151. Make the PO numbers use the same type of numbering scheme as tickets/estimates/invoices. Make it so we can set a 'starting number' and they would be sequential after that.
2. Add an option to 'change' data in the PO details, such as the PO ship to location; much like you can do with tickets and invoices.
3. Allow us to receive 'partial quantities' of line items on a PO. Right now, if I order 10 of a widget and only 5 come in the first day, I can't receive a partial quantity. And if I edit the quantity when receiving, it just changes the amount expected and the total price on the PO. It should allow receiving of 'all' or 'partial'.
4. Allow us to track how POs have been paid. That way we can 'pay' POs with a virtual transaction flow, like this: Payment (at top of the PO) > Method (check, credit, paypal, etc) > Reference Number (enter check number or paypal confirmation number) > Confirm (PO will be marked as PAID with a stamp).
5. Add cloud print option to POs, like it is on tickets/estimates/invoices.
6. Move the buttons for 'email', 'receive items' and 'clone po' to the top with the rest of the buttons.
7. Allow parts orders to be added to POs, rather than just inventory items. We often order both inventory and non-inventory items from a single vendor on the same order.
8. Get RID of the current 'parts order' feature and replace that with 'create purchase order'. There are so many problems with it related to tickets and estimates. Purchase orders will clearly be superior once they support non-inventory parts.
9. Make the audit log more informative, with actual information about products that are added/edited/removed, rather than just data about updated_at and product_ids.
10. Change the layout/display of POs to LOOK the same as everything else. It should look much more like an invoice or ticket that it does currently. (show list of items the way it does on an invoice, etc)
11. Need it set by default to "hide" PO's from locations you are not authorized to view.
12. Reference to the "best" and "worst" cost for items being added to a PO, or otherwise a reference to the "upper/lower limit cost". That way we can make sure we're ordering within our target price range.
13. Adjust the PO module to default to filtering all besides "Finished". The old way made sense because anything finished is kind of archived. It would make more sense to show only current/open POs instead of all.

Another thing to bear in mind when making the PO changes. It would be great to be able to see from the PO list screen what items are on the PO. If you're not sure of the PO you're looking for you have to click in to each PO then back out then to the next.
Would it be possible to add a drop down option showing the PO items? It could work a bit like the line item dropdown on invoices that shows cost price, product category etc.
Or maybe a pop up when you hover over the PO.

@Troy, I know that somewhere in this thread, it mentioned that PO's should be like invoices and tickets with a starting number and a prefix, so that they are sequential and easily trackable. Is this also in the roadmap?

@ralph - that is possible, we were going to do that, but Xero has just marked the PO API work as "In Progress". We would rather wait for that than do the work twice.

Thats great news Troy. As a question around the Xero integration, is it not possible to just have RS pass a bill through to Xero on completed purchase orders and do increment adjustment to the stock on hand account accordingly. This is how other intergrators have done it to work around the lack of a PO API. In reality, if you are managing your inventory in RS, the only thing that Xero needs to know about is that a bill is sitting in draft and that the stock is received, which makes reconciliation really easy.

Hey everyone, quick progress report.
Here are some of the things we did in the last couple weeks:
- Added a delete button to the detail screen
- Nightly reorder emails filter out items that are already pending
- Now a PO can have a user attached, and they are filterable (so you can assign them if you want)
- You can add attachments to them
- The filter/search was added and has a few ways to filter the PO list page
- The vendor SKU will now show on the PO detail page - instead of only in the email/pdfHere are some things that are still pending:
- Make it so you can link to a product from detail page and copy text from the line items
- Bugfix pulling cost back from electronic ordering systems more reliably
- Status dropdown on PO page - don't make full page reload, speed that up a lot
- Sync PO's to QuickBooks Online
- Sync PO's to Xero (now waiting for the PO API - they just marked as started)
- Tracking of shipment - tracking numbers
- Add the ability to "Quick Add" an item to the pending orders page (internal backorders)
- Put a list of all low stock items on the pending orders page
- Finish off product labels/barcode with the new serialized inventory system - labels will tell what batch/vendor/etc a product came from -

If you could also make the title of each item on a PO a link to that item in the inventory, it would save me so much time. At the moment, I can't even highlight the text to copy/paste it to the inventory to check the item.

Item number one in the new updates is;
Purchase Orders just got a new PDF and Email template. There is also a new template tag in them called {{purchase_order_line_item_rows_no_price}} that will leave out the expected price.Can someone please tell me how we make this work?
I have tried to edit the PO Template many many times and no matter what I do the end result ends all mixed up and formatted incorrectly.
Also, correct me if I am wrong, but even if the PO no longer lists the unit prices, isn't the total PO amount going to still be there?

We use Erply for our retail business, the Purchase Ordering system is extremely good, and is great for keeping track when ordering 100's of items in single PO that then get delivered in multiple part shipments from a supplier
Worth you taking a look at the demo to get some ideas of how that system handles ordering and receiving inventory

Yesterday the inventory manager made a PO by going to the Purchase Order page and clicking the "Add all low Stock Items".
Then, after exporting the PO, she then had to rewrite the entire PO in Excel so that it is propery formatted, includes the correct taxes and freight charges and does not include information such as cost pricing. Then we sent that PO to two suppliers last night.
This morning she received an automated email from the RS system alerting her of the items that are low on inventory.
We would expect that that email would list mostly the same items that were in the PO that she generated only a few hours before but no. That email included more than three times the number of items as was in the PO. We have no idea why that is but either way she is now cross referencing each list and adding the items that for some reason were not included in the PO. she will then need to re-send it to the suppliers and hope that they can make the corrections and get the packages out before the upcoming major Chinese Holidays.
We have attempted many times to edit the format of the PO PDF Template so that it does not include the cost pricing but the editor is extremely difficult to use and I have exhausted every method I can think to make that happen. I am pretty sure it's not possible to remove the "Unit Cost" column.
This is a function of RS that is absolutely integral. In my opinion, RS cannot be considered complete without a major overhaul to this area of the system.
We, as paying users, need a definitive and clear timeline for when each of the missing or broken features will be remedied.On another note, we need a forum. Using RS can, at times, be extremely frustrating and I need a place where I can go and speak with other users about my experiences and feelings with respect to RS. I get very frustrated with being so frustrated with RS, posting a feedback comment with respect to that, and being blocked and having my comments deleted by Troy because he does not agree or feels it casts a dark shadow on RS. Sometimes a user just needs to bounce ideas off of other people in similar circumstances.
